Explaining the Task Status

In Procify, each task (whether manual or automatic) has a status that shows its current state in the case. Understanding what each status means can help you track progress effectively and troubleshoot issues quickly if needed.


Ongoing

When a task is marked as Ongoing, it means the task is currently active and in progress. For manual tasks, this typically means that the task is open and waiting for a user to take action—like filling out a form or providing approval. For automatic tasks, it indicates that the system is either processing the task or waiting for an external signal.


For example, an Ongoing manual task might be a form waiting to be completed by a user. An Ongoing automatic task could be an e-signature step that's waiting for confirmation that the document has been signed.


Completed

When a task is marked as Completed, it means the task is closed and has been successfully finished. In the case of manual tasks, this usually means the assignee has submitted a form, approved a request, or otherwise completed the required action. For automatic tasks, it indicates that the system has executed the action without any issues.


For example, a Completed manual task could be the successful submission of a form, while a Completed automatic task might be an email that was sent or a webhook that was triggered successfully.


Cancelled

When a task is marked as Cancelled, it means that the task was intentionally stopped by a user with the appropriate permissions. Cancelling a task also cancels the entire case, making it inactive and preventing it from progressing any further.



It is important to note that only manual tasks can be cancelled.






Expired

When a task is not completed within the expected timeframe set in the workflow, then the task is marked as Expired. Only manual tasks expire, and only when an auto-close is set for them in the Workflow Builder.
