What Are Unassigned Tasks

In Procify, unassigned tasks are tasks that have been assigned to a team or department but not yet to a specific user. These tasks are essentially “up for grabs” and need someone from the assigned group to take ownership.


Whether a task will be assigned to a specific user or left unassigned for a group to manage is decided when the workflow is built, providing more flexibility regarding the assignment of manual tasks. Instead of assigning a manual task to one specific person upfront, you can assign it to a group of users, allowing any available team member to pick it up based on workload or role.



How to Assign an Unassigned Task


Via the Email Notification

When a new unassigned task is created, all members of the assigned team or department receive an email notification. By clicking the button in the email, users are taken directly to the task, where they can easily assign it to themselves.





Via the Tasks Page 

On the Tasks page, users can use filters to quickly find relevant tasks without scrolling through long lists. By default, this page shows both:

  • Tasks currently assigned to the user (Ongoing)
  • Unassigned tasks that the user can pick up

From here, users can easily select an unassigned task and assign it to themselves.





Admin users can assign tasks to users other than themselves.
